Terms & Conditions

ODJCA and its officials are the organisers and we agree to abide by their decisions and rules in relation to the running and format of the Carnival.


Full payment of the registration fee PLUS this completed form per team is required to fully validate your nomination. Places will not be held until payment has been received in full.


All players nominated must be registered with Cricket Australia with permission to play from the relevant association / council.

Marsh Sport and / or other similar insurance cover naming your Association is in place specifically covering the dates of the Carnivals.


You agree to the terms of the policies covering the WNSW January Carnivals including the:

  • ODJCA Refund Policy
  • ODJCA Age Eligibility Policy.
  • ODJCA / Carnivals Covid Minismation Policy 
  • ODJCA Covers Policy.

All team officials must have successfully met the “Working With Children” requirements.


Accommodation and all meals during the Carnival will the responsibility of teams.


Refund Policies

The ODJCA has considered “Event Cancellation” Insurance for the January Carnivals, however the cost is prohibitive, and therefore it has been decided instead to establish a refund policy. 


Please note that acceptance of this policy is a term of completion of the Team Nomination Forms. Teams have lost very few days play since the Carnivals commenced, but we do wish to provide you with transparency. 


The ODJCA Policy is as follows:

  • Total cancellation of the Carnival prior to the commencement dates. 100% refund to those teams affected
  • If any game is unable to be played on turf, but is transferred and totally played on a synthetic pitch - No Refund
  • T20 evening games unplayed - No Refund
  • Up to two out of the four day games unplayed - No Refund
  • Three out of the four day games unplayed - 50% of player fees will be refunded
  • Four out of the four day games unplayed - 75% of player fees will be refunded
  • Any team, having registered, and provides less than 30 day’s notice that they will not participate - No refund
  • Any team, having registered, and provides more than 30 day’s notice but less than 60 days notice that they will not participate - 50% refund
  • Any team, having registered, and provides 60 or more days notice that they will not participate - 75% refund


Definitions



Any game totally played on a Synthetic Pitch will be considered a played game.


An unplayed game will be one where no more than 15 overs have been bowled before abandonment for the rest of the day


If a game on turf has commenced but is abandoned inside 15 overs, it will be considered unplayed, even though a suitable synthetic pitch may be available. (Note – in this instance, teams may wish to play on the Synthetic pitch, but due to the change of surface, the game will officially be deemed a draw)


All decisions in regard to abandoning games will rest with the Umpire/s 


ODJCA accepts no responsibility for costs incurred outside of the player fees – e.g. Accommodation etc.


Age Eligibility Policy

All players nominated must be age eligible under Cricket NSW criteria.


All requests to include overage players in a team must be received in writing clearly stating the players name, date of birth, Cricket ID number and reason.


ODJCA reserves the right to review each overage player on a case by case basis. 


ODJCA acknowledges there are circumstances where allowing some overage players could be beneficial to the running of the carnival, specifically in ensuring an equal number of teams are participating, so as to eliminate any chance of byes.


ODJCA reserves the right to allow a lower standard team below Council / Association level some dispensation with age, as has been the case in previous years, if this ensures an even number of teams.


Any such situations will be fully communicated to all managers prior to commencement of the games.

Due to the ramifications of unidentified overage players, the ODJCA will act with severity on any association that knowingly or unknowingly allows such players to play. The onus to correctly verify dates of birth is totally on the individual associations.


The following minimum age requirements will also apply: 


  • U13 boys – must be at least 11 years of age by the 1 September before the carnival
  • U15 boys – must be at least 13 years of age by 1 September before the carnival
  • U15 girls – must be at least 11 years of age by 1 September before the carnival


Requests for under-age dispensation must also be received in writing clearly stating the players name, date of birth, Cricket ID number and reason.


Covers Management

It is a condition of entry that during the WNSWJCC playing teams will be responsible for removing and placing covers under the guidance of ODJCA, and or umpires. 


Decisions to cover pitches will be made as early as possible depending on forecasts and the advice of grounds staff. This decision will be communicated via WNSWJCC Officials WhatsApp group.


If covers are required the pitch should be covered at approximately 7pm and covers removed at approx. 7am. 


(Please note: earlier covering can cause ‘sweating’ and result in an unplayable pitch)


Teams are responsible for the ground they will play on the NEXT day. We encourage teams to coordinate with the opposing team to ensure placement and removal of covers.


If covers are required teams are requested to indicate that the ground is covered / uncovered by submitting a message / photo to the WNSWJCC Officials WhatsApp group.


Covers should not be walked on and players MUST NEVER walk on a cover with spikes. This applies to covers whether on the pitch or off the field.


To ensure play the next day the requirement to organise cover placement takes precedence over other considerations such as team events / dinners.
